How To Use an Approved Caterer

To use an Approved Caterer, take the following steps:

Step 1: Ensure your preferred caterer is a Mason Approved Caterer.
Check the current list of Mason Approved Caterers. If your preferred caterer is on the list, go to step 2. If they are not on the list you have two options:

Option 1: Utilize the services of an Approved Caterer already on the list.
Option 2: Encourage your preferred caterer to go through the Become an Approved Caterer Process. Note this process may take up to two weeks. If your event is less than two weeks away, please consider option 1.

Step 2: Complete Fiscal Services’ Food and Beverage process.

Become an Approved Caterer

George Mason University is happy to partner with some great catering establishments in the local area to provide dynamic service to our community. Please review and complete the process outlined below to become one of our approved caterers.

Step 1: Complete the Applications

All caterers or restaurants applying for Approved Caterer status must complete the following steps.

Complete and submit Approved Caterer Request Form (required)

Consider registering your business as an eVA vendor (optional)

Within the Approved Caterer Request Form, you can upload the following documents.

2023-2024 License Agreement (PDF)
2022-2023 License Agreement (PDF)
Substitute W-9 (PDF)
Copy of Current Business License
Copy of Current Virginia ABC License (if applicable)
Copy of Current Health Department License
Copy of Current Health Inspection Report
Certificate of Insurance

See License Agreement for types of insurance for a minimum of $1,000,000 and naming the “George Mason University Board of Visitors, its officers, officials, employees and volunteers” as additional insureds

Step 2: Submit All Materials

After completing the Approved Caterer Request Form, all documents above can be submitted in the following ways:

Upload Online (Preferred)
Attach to the Approved Caterer Request Form using the upload features embedded in the form.

Fax

Step 3: Wait for Approval

Expect the approval process to take up to four weeks after receiving all required information and documents. All documentation will be reviewed by the Executive Director of Auxiliary Services. Once reviewed, an email will be sent with an approval or request for additional information.
